THE HOTEL BLOCK IS SOLD OUT, PLEASE CHECK NEARBY HOTELS FOR AVAILABILITY IF YOU PLAN TO ATTEND

Convention Registration is required prior to securing your hotel reservations. Upon completion of convention registration and payment you will be provided a link to secure your hotel reservations. Due to an anticipated high volume of reservation requests this year we are limiting the number of hotel reservations to one per registered attendee plus one additional room for family.

The cutoff date to reserve your room at the special rate of $399.00++ is Wednesday, September 11, 2024. Please note that if you do not see the $399+ rate available for your selected travel dates than the special WILG® rate is no longer available for either a portion of or for the entire stay of your selected dates. Please try changing your date selection to see if the rate becomes available. While there still should be availability at the hotel the rates will increase based on availability.

Reduced Valet Parking is available for those in our block at the rate of $25 per vehicle per night (this is reduced down from the standard rate of $70 per vehicle per night).

WILG® attendees/guests may also receive a 10% discount on Spa Pricing from the Ritz Carlton Spa Bacara (does not apply to retail) as long as a minimum of 10 total appointments are confirmed in the block.

The resort activity package fee is $25 + per room per night (reduced down from $50+) and includes the following amenities: 

• Wireless, high-speed internet access in guest rooms and common areas
• Daily one hour access to private, professional grade clay tennis courts, including rackets, tennis ball machine use, and 30 minute tennis clinic with pro (2 people)
• Ambassadors of the Environment Guided Echohike Tour (2 people)
• Daily bike rental for 2 people, max 2 hours per day
• Guided beach walk
• Press Reader, an easy-to-use app offering unlimited access to your favorite newspapers and magazines
• Daily One-Hour Yoga class for 2 people, inclusive of mat

For attendees traveling with kids:

RITZ KIDS PROGRAM 24-Hour Advance Booking Required. All prices include a 16% Staff Charge and 6% House Charge. The entire Staff Charge on Recreation and AOTE experiences are distributed to service personnel; the House Charge on Recreation and AOTE experiences are retained by the hotel to cover administrative, non-labor costs and is not a tip, gratuity, or service charge for employees. Additional gratuities may be offered at your discretion.

Ritz Kids introduces our young guests to the natural wonders of the Bacara by the Sea through a variety of hands-on adventures. Designed for children ages 4 through 12, the supervised program entertains kids with educational games and activities featuring different themes throughout the week.

Ritz Kids programs are offered Friday through Sunday only and sign ups must be made 24 hours prior. If Monday - Thursday programs are needed the days would need to be contracted in advance and a head count for each day would need to be provided. The Ritz Kids Programs change seasonally.

WILG® works extremely hard to secure the lowest room rates possible for its members at properties that our members look forward to and have requested to stay at. In order to ensure the continuation of this and to avoid attrition fees for the association we ask that you kindly stay on property for our events.  WILG® will be charging a nominal fee of $200 for those who choose not to stay on property unless they are local to the area.

Please understand that these policies are not meant to be punitive.  They are meant to protect the association from financial liabilities that occur when rooms are cancelled past the room block contractual release dates and attrition fees are assessed.  We hope you will work with WILG® Staff to avoid these liabilities so we can continue to offer you low rates at beautiful properties in the future. What are the three ways you can assist:  1-Only make room changes thru WILG® Staff 2-Register before you book 3- Don’t book more rooms than you will use – Thank you!

But, if you must cancel, the WILG® cancellation policy applies to all paid meeting events, including social events. All cancellations or changes must be received in writing, phone cancellations are not accepted. Cancellations received in writing before 07/25/24 will result in a $100 cancellation fee.  Cancellations received in writing between 07/25/24 and 08/25/24 will result in a 50% refund less a $100 cancellation fee.  Cancellations received after 08/25/24 will be given access to electronic materials and receive no refund.

WILG® will charge a cancellation fee equivalent to 1 night hotel stay for each hotel reservation that is cancelled after Friday, September 1, 2024. The rate to be charged will be based on the room rate that is on the reservation at the time of cancellation. This fee is to protect the association from attrition fees that may be charged to the organization when rooms are cancelled past the room block contractual release dates.
